A useful service budget connects each expected expense to a specific machine and source of information. It should show which items are planned, which are quoted and which still need diagnosis.

Use the correct machine record
Start with the tractor identification, current hour reading and service history. Use the applicable manual and qualified service advice to identify scheduled work. Do not copy an interval from a different engine or production version.
List missing records as questions for the service provider. An unknown maintenance history should not be presented as evidence that a machine is ready for its next work season.
Separate three types of cost
Keep scheduled service, identified repairs and a planning allowance in separate columns. For each quoted item, record the date, scope, part reference, quantity and whether labour is included. State the currency and validity period so an old estimate is not mistaken for a current price.
Parts transport and workshop movement can affect the complete cost. Record them separately and identify who has confirmed each amount. A planning allowance remains an estimate until the required work is established.

- Confirmed service appointment and responsible contact
- Machine availability while work is completed
- Actual expenditure and completed-work evidence
After service, link the invoice and work record to the tractor file. Comparing planned and actual items makes the next budget more useful and highlights repeated questions for qualified technical review. Budget planning does not replace diagnosis or the manufacturer maintenance instructions.
